Objective

The patient Services Specialist will be responsible for managing the front desk and reception area, greeting patients, handling phone calls, scheduling appointments, and performing various administrative tasks. This role is crucial in ensuring a welcoming and efficient environment for our patients and staff.

Qualifications

  • Excellent communication and interpersonal skills.

  • Strong organizational and multitasking abilities.

  • Experience with medical scheduling systems and office management software is preferred.

  • Ability to handle sensitive information with confidentiality.

  • Previous experience in a medical or customer service setting is preferred.

Responsibilities:

Patient Relations:

  • Schedule patient appointments and manage the doctor and nurse patient schedules.

  • Greet and check in patients, ensuring a welcoming atmosphere.

  • Address patient inquiries and concerns, providing exceptional customer service.

  • Coordinate patient follow-ups and appointment reminders.

  • Assist patients with inquiries and provide information about the practice and services offered.

  • Enroll new patients into the practice.

  • Ensure correct insurance is on file to submit insurance-billable visits.

  • Keep patient appointments on schedule by notifying doctor and/or nurse of patient’s arrival and contacting patients if they are late.

  • Handle all patient medical records requests.

Shipping and Fulfillment:

  • Ensure supplements, testing, and all other outgoing mail are ready at the appropriate time daily for shipping FedEx and UPS.

  • Manage USPS deliveries and receipts for billing shipping to patients 

Office Duties:

  • Ensure the lobby is in order throughout the day (i.e., replenishing refreshments, cleaning up magazines, straightening chairs, fluffing pillows, etc.).

Appointment Management:

  • Schedule and confirm patient appointments.

  • Manage the appointment calendar to ensure efficient patient flow.

  • Handle rescheduling or cancellations as needed.

  • Reach out to patients on behalf of doctor to schedule appointments.

Phone and Communication Management:

  • Answer incoming calls promptly and courteously.

  • Direct calls to the appropriate staff members.

  • Take and relay accurate messages when necessary.

Billing and Payments:

  • Process payments at the time of service and provide receipts to patients.

  • Maintain accurate records of transactions for the accountant.

  • Assist with insurance verification and billing processes.

Inventory and Supplies Management:

  • Notify Office Director of low stock items including office supplies or lobby/IV room refreshments.

Technology and Systems:

  • Manage patient tracking sheet and update regularly so that it reflects accurate information.

  • Maintain patient accounts by obtaining and updating personal (address, phone number, email) and financial (insurance, credit card) information.
